Why this policy exists
When you apply for a job at UpSlide, we need to process some of your personal data. We want to be transparent about what we collect, why, and what your rights are, including how we use AI tools in our recruitment process. This policy applies to anyone who applies for a role at UpSlide, or whom we identify and contact about a potential role. It is written to comply with the General Data Protection Regulation (GDPR) and the EU AI Act.
Who is responsible for your data
UpSlide, a company registered under number 791 925 753 in the Paris Trade and Companies Register, with its registered office at 20 Avenue de l’Opéra, 75001 Paris, France, is the data controller for the personal data processed in the context of your application.
For any question or request about your personal data, contact us at legal@upslide.com. We may ask you to confirm your identity before responding.
What data we collect
We only collect information relevant to evaluating your application. This includes:
Your identity and contact details (name, email, phone number, location)
Your professional background: CV, cover letter, LinkedIn profile, education, work experience, skills, languages
Links you share with us (portfolio, GitHub, personal website)
Your answers to screening questions, salary expectations, and availability
Our interview notes, evaluations, and case study assessments
References, where you have given us permission to contact them
Communications between you and UpSlide
Any additional information you choose to share with us
Where this data comes from
Directly from you, when you apply or during the process
From your public professional profiles (e.g. LinkedIn)
From the person who referred you, if you were referred
From recruitment partners who support our hiring
From your references, with your prior agreement
Collected automatically: when you apply through our careers page, our applicant tracking system (Tellent - Recruitee) collects technical data such as your IP address and how you reached the page. See Recruitee's privacy policy for details.
How we use your data, and on what legal basis
Assessing your application and your suitability for the role (or other open roles) — based on pre-contractual measures (steps taken before entering an employment contract)
Organising and communicating with you throughout the process — based on pre-contractual measures
Checking references you have provided — based on our legitimate interest in making informed hiring decisions
Keeping your application on file for future opportunities — based on your consent; we will ask you first
Improving our recruitment process (analytics and reporting, in aggregated form) — based on our legitimate interest
Complying with legal obligations — based on legal obligation
We never sell your data, and we do not use it for anything unrelated to recruitment.
How we use AI in our recruitment process
We use AI-based tools to support parts of our recruitment process, in line with the EU AI Act. Here is what they do:
Interview transcription and notes: we use AI tools (Notion, Claude by Anthropic, ChatGPT by OpenAI) to transcribe interviews and turn those transcriptions into structured interview notes. This helps our interviewers give you fair, complete feedback based on what was actually said.
Evaluation summaries: within Recruitee, our applicant tracking system, we use an AI feature that summarises interviewers' written evaluations to support hiring discussions. The evaluations themselves are written by humans, and so are the decisions.
Candidate communications: we may use Recruitee's AI writing assistant to help draft emails to candidates. Every message is reviewed by a human before it is sent.
Job content: we may use AI to help generate and translate job descriptions. This does not involve your personal data.
We do not use AI to screen, score, rank, or reject candidates. No AI system evaluates your application on its own.
Three commitments:
Humans make the decisions. No hiring decision at UpSlide is made solely by an automated system. Every application is reviewed, and every decision made, by a member of our recruitment team.
You can ask questions. You can contact us at any time to understand how AI was used in processing your application.
You can object. If you do not want your application processed with the support of AI tools, tell us at legal@upslide.com. This will not negatively affect how your application is evaluated.
Who has access to your data
UpSlide employees involved in hiring: recruiters, hiring managers, and interviewers for the role you applied to
Our recruitment partners: external recruiters working on our behalf, bound by confidentiality and data protection obligations
Our service providers: Recruitee (applicant tracking system), Notion, Anthropic/Claude, and OpenAI/ChatGPT (interview transcription and notes)
If required by law, we may need to share data with administrative or judicial authorities, limited to what is strictly required. International transfers: some of our providers may process data outside the European Union. Where that is the case, we ensure appropriate safeguards are in place (such as Standard Contractual Clauses) in line with the GDPR.
How long we keep your data
If your application is unsuccessful, we keep your data for 2 years from our last contact, unless you ask us to delete it earlier or agree to a longer retention. If you join UpSlide, your application data becomes part of your employee file and is covered by our employee privacy policy.
Your rights
Under the GDPR, you have the right to:
Access the personal data we hold about you
Correct inaccurate or outdated information
Delete your data (e.g. withdraw your application and ask us to erase your file)
Object to processing based on our legitimate interests, including AI-assisted processing
Restrict processing in certain circumstances
Portability - receive your data in a structured, machine-readable format
Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, contact legal@upslide.com. You also have the right to lodge a complaint with the CNIL (Commission Nationale de l'Informatique et des Libertés) at cnil.fr if you believe your data has been mishandled.
Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the date of last update above.
